Young Learners Policies
At Safir Language Academy, we are dedicated to providing a safe and nurturing learning environment for young learners. We ensure that all teachers working with children are trained to child protection guidelines. Parents or guardians are encouraged to stay informed about their child’s progress and communicate regularly with teachers through PTMs. We take any concerns about the well-being or safety of young learners seriously and respond immediately to any reported issues.
To ensure the effectiveness of our educational process, we kindly request that parents refrain from intervening in the classroom activities. This allows our highly trained teachers to maintain a focused and structured learning environment which is essential for the educational development of the children.
Additionally, to maintain a safe and orderly environment around our facilities, we ask parents to avoid congregating at the doors or inside the premises when dropping off or picking up their children. This practice helps to minimize distractions and ensures the safety of all students.
To minimize unnecessary movement in hallways and staircases that could potentially lead to accidents, we encourage all kids to bring water bottles to class. This simple measure helps to keep them hydrated and reduces the need to leave the classroom during lessons.
If a child or teenager is late or absent, we will contact their parents on the same day to inform them of their child’s absence and discuss any concerns. This policy is in place to ensure that parents are immediately aware of any attendance issues and can work with us to address them promptly.
We believe that these measures are essential for maintaining a structured and safe learning environment, and we appreciate the cooperation of parents in following these policies.
Attendance and Lateness
We understand that occasional absences may occur during studies. For all levels, students are permitted up to five absences without any academic penalty. However, upon the sixth absence, the student’s overall performance and engagement in the course will be reviewed to determine their eligibility for passing the term. Students with satisfactory academic standings may receive a pass, whereas those with lesser performance may receive a conditional pass based on their participation and coursework completion.
Regarding specific attendance policies for exams, students are allowed to miss one Oral Exam during their course of study without penalty, provided they have maintained otherwise consistent attendance. If a student misses more than one Oral Exam, they will fail unless there are extenuating circumstances that are validated by the administration.We encourage all students to communicate any potential absences in advance to help us provide the necessary support and consider any special circumstances. Maintaining regular attendance is crucial to ensure the full educational benefit of the courses offered.
Online Classes Policies
We ensure that online classes occur precisely on the scheduled dates and times for which you have registered. You have the flexibility to complete offline sessions at your own pace throughout the term. However, it is advisable to complete each offline session before the subsequent online class to ensure you are fully prepared.
- Offline Sessions
All materials for offline sessions are available on LMS. Learners are expected to complete these assignments independently, and the system automatically corrects and provides feedback on the submissions.
In online sessions, attendance does not affect grades as students can access recorded sessions. However, offline sessions and assignments are mandatory, and failure to complete them on time will result in lost points. All classes are recorded, and learners can access these recordings through their user panel.
- Scoring for Offline Sessions
For offline sessions, your score will range between 0 to 5. To achieve full marks, you must revisit each question until a green tick indicates a correct answer. The highest score obtained across all attempts will be recorded. If you score a full mark (5) on an offline session, it will remain as your final score for that session, irrespective of any subsequent attempts.
All assignments and assessments must be submitted by midnight the day before the exam. However, if you submit two written and oral assignments before midnight of the day prior to the fifth session, you will receive feedback from the teacher.
- Examination and Assessments
The term includes 16 teaching sessions, with the 17th session reserved for the final exam. After the last session, students will receive a text message with a link to join the exam, which can be taken online from 8 a.m. to 10 p.m. on the designated day. The exam duration is 45 minutes, extended to 60 minutes for advanced levels. Once the allotted time ends, students will automatically be logged out from the exam session. Managing time efficiently during the exam is crucial.
Final grades will be posted on the Natoos website within 24 hours after the final examination. We have dedicated support for each class, present during all sessions, with contact information available on the platform for any technical issues.
- Registration and Class Access
The fourth session marks the last opportunity to register for the term. A minimum internet speed of 512 kbps and access to a smartphone, laptop, tablet, or desktop computer with headphones or a headset are required for participation. We highly recommend using a desktop computer or laptop for online sessions and examinations to ensure the best possible experience. These devices typically offer more reliable internet connections and better functionality for navigating our learning platforms compared to smaller mobile devices.
Harassment Policies
At Safir Language Academy, we uphold a zero-tolerance policy towards harassment to ensure a respectful and secure environment for everyone. Harassment encompasses a range of behaviors that undermine an individual’s dignity or create an uncomfortable atmosphere, including but not limited to bullying, discrimination, and unwanted sexual attention.
We are committed to enforcing this policy diligently and encourage anyone who experiences or witnesses harassment to report it immediately. Our objective is to handle all reports with the utmost seriousness and discretion, ensuring that all parties are treated fairly and respectfully.
Harassment can manifest in various forms, all of which are unacceptable and against our workplace ethics. These include:
- Physical Harassment: Unwanted physical contact, invasion of personal space, or threatening gestures.
- Verbal Harassment: Includes derogatory comments, jokes, or slurs based on an individual’s race, gender, religion, disability, or any other protected characteristic.
- Psychological Harassment: Intimidation tactics, spreading rumors, or undermining someone’s confidence repeatedly.
- Sexual Harassment: Unwelcome sexual advances, requests for sexual favors, and other verbal or physical conduct of a sexual nature.
- Cyber Harassment: Sending offensive messages or images via electronic communication tools, including emails and social media platforms.

Complaint Procedure
We take your concerns seriously and are committed to resolving any issues you may face promptly. We encourage you to first discuss any problems directly with the educational manager or the administrative manager of your branch. Be sure to provide all necessary details to facilitate a comprehensive understanding of the issue.

In Time of Disaster
The safety and well-being of our staff and students are paramount. All personnel and students are covered by Third-party Insurance to ensure support and assistance in unforeseen events. We are committed to taking all necessary actions to help those affected by any incident.
Each branch is fully equipped with essential safety equipment:
- First Aid Kits: To ensure immediate medical response, each branch has a readily accessible first aid kit.
- Fire Extinguishers: To address potential fire-related emergencies, all our branches are equipped with fire extinguishers.
Additionally, all our personnel are trained in effective disaster response techniques, including how to properly use fire extinguishers and other safety equipment during emergencies. This training ensures that everyone can act quickly and efficiently to mitigate risks and maintain safety.
These measures are part of our commitment to providing a secure environment and are in place to protect our community in the event of emergencies.
In the event of force majeure, such as natural disasters, political unrest, pandemics or other uncontrollable circumstances, Safir Language Academy may be compelled to activate emergency plans to ensure the safety and continuity of our educational services. This might include the cancellation of scheduled classes when conditions make it unsafe or impractical to proceed as planned.
While we prioritize the safety and well-being of our community above all else, there may be instances where it is not feasible to schedule makeup sessions following cancellations. In such cases, we will endeavor to provide alternative educational resources or curriculum adjustments to meet our educational objectives.
